Plates, Glasses & Cutlery Per Guest: Hosting Quantities

Order one plate per guest and you will run out before the last table is served. Real hosting quantities are not one-to-one β€” they depend on courses, whether people go back for seconds, and how much gets set aside dirty before anything is washed. Here are the actual multipliers, and the counts for 50, 100, 200 and 500 guests.

The 1.5 multiplier is the one people resist and the one that saves the function. It is not waste β€” it is the difference between washing up during service and washing up after.

At 500 guests, hire rather than buy the bulk of it and own only what you will reuse β€” your serving equipment, spoons and warmers. Owning 750 plates is a storage problem, not an asset.

Seating: how many people fit

Divide guests by the "comfortable" figure, not the squeezed one. Then add one table β€” late arrivals and family who were not on the list are a feature of Kenyan functions, not an exception.

Drinks: how far a bottle goes

  • A 750 ml wine bottle pours 5 standard glasses. For 50 drinking guests at two glasses each, that is 20 bottles.
  • A 1.5 L soda fills about 6 glasses. For 100 guests at 1.5 glasses each, roughly 25 bottles.
  • Water β€” plan 1 litre per guest across a long function, more for an outdoor daytime event. This is the single most under-ordered item at Kenyan functions held in the sun.

What to own versus what to hire

A simple test: will you use it more than three times a year?

  • Own: serving spoons, chafing dishes, trays, jugs, a good set of 12–24 plates and cutlery for family gatherings, tablecloths you like.
  • Hire: plates, glasses and cutlery in the hundreds, plus tables and chairs.
  • Never hire: anything you will be blamed for breaking that costs more to replace than to buy. Read the breakage terms.

Households hosting ruracio, Christmas and harambee in the same year often find a 24-place set earns its keep quickly, with hire covering the overflow.

Three quiet mistakes

  1. Counting glasses once. Guests set a glass down, lose it, and take another. Always 1.5Γ—.
  2. One serving spoon per dish. The moment it goes to a table, that dish stops being served.
  3. Forgetting the head table. It needs its own jugs, glasses and serving so guests of honour are not queuing.
